ISO 45001: choosing a body with the right workplace competence
Compare ISO 45001 providers by hazards, workforce, contractor interfaces, worker participation and impartial audit planning.
Describe the work before selecting the provider
List sites, shifts, activities, workforce and contractor interfaces, including temporary or outsourced work where relevant. The proposed team needs competence for your hazards and actual work arrangements. A desk-based service and a maintenance workshop should not be compared using only the same generic certificate package. Ask how the body matches the team to those activities and plans to observe the relevant shifts and work.
Check specific recognition and current criteria
Where accreditation is claimed, obtain the current official scope for ISO45001 and your activities. Match legal names and status rather than relying on an accreditation logo in a sales file. ISO45001:2018 remains the published edition with a 2024 amendment; an announced draft revision does not mean the body can issue a certificate to a published new edition. Ask which criteria will govern your application and how future changes would be handled.
Look for worker participation and control assessment
Discuss how the audit will evaluate consultation and participation, hazard identification, control implementation, applicable obligations and incidents. In a hypothetical maintenance task, an attendance sheet does not demonstrate that unexpected equipment movement is controlled. Workers’ account of real practice and a traceable work record are useful evidence. The system certificate does not replace employer duties, required occupational services or operational authorisations; it is not a guarantee of no accidents.
Compare independence, fees and follow-up
Clarify the legal issuer, audit and independent decision roles, and whether any preparation service is separate. Client-specific consultancy must not be marketed as guaranteed approval. Compare initial audit, surveillance, recertification, travel, additional assessment and scope-change charges using the same work/site assumptions. Ask how findings are followed, how status is verified, and how a complaint or appeal is handled. Protective equipment, workplace improvement and statutory services are distinct costs.
Prepare a verifiable application
Send accurate activity, site, shift, contractor and workforce data, with risk assessment, controls, participation and incident follow-up status. ISO does not issue certificates. On receipt, verify number, legal entity, activities, sites, edition and current status with the issuer, and any claimed accreditation separately. Do not extend a limited site certificate to unassessed workplaces. The applicant implements its system and prepares procedures specific to its own operations and operating records. A certification enquiry to Kayra is limited to actual activities and sites, application information, authority and impartiality review; it does not include designing or implementing the client’s management system. The certification body, other parts of the same legal entity and entities under its organisational control cannot offer or provide management-system consultancy; separate contracts do not remove this restriction.
