Make authentic records and responsible staff available for the real operation: specifications, process controls, product checks, traceability and corrective work. Identify production availability and access issues with the body. Do not substitute a staged demonstration for the site's normal operating evidence.
Examine the incident exercise rather than its completion memo
BRCGS's current clarification calls for at least annual testing of the recall or withdrawal procedure, retaining key activity timings and using results to improve the procedure. Prepare the exercise evidence, not only the statement that a test occurred.
Hypothetically, a withdrawal exercise finds the production job but misses unsent rolls, customer deliveries and retrieval timings. Reconcile the genuine job, stock and dispatch records, identify who retrieves each part and record the actual gaps. Test the improved retrieval without inventing times or declaring an unfinished exercise successful.
Close evidence gaps without predicting the decision
Keep findings, cause analysis, actions, responsible people and effectiveness evidence distinct. Discuss applicable submission arrangements with the certification body. A new procedure or invoice alone does not show that the identified operational weakness has been corrected.
