GLOBALG.A.P. IFA: Required Documents and Traceable Records

Confirm the IFA edition and production option before using a document list. Identify the producer or group, products, plots, ownership or lease, harvest season and handling points. Keep the applicable current criteria beside the file; a downloaded checklist is not evidence that its requirements were implemented.

Build the file around the confirmed scope

Confirm the IFA edition and production option before using a document list. Identify the producer or group, products, plots, ownership or lease, harvest season and handling points. Keep the applicable current criteria beside the file; a downloaded checklist is not evidence that its requirements were implemented.

Map genuine records to the selected activities: input use, harvest identification, hygiene and handling, personnel responsibilities and relevant risk assessments. Explain how a representative harvested lot links to its plot and dispatch. Include shared or outsourced work where relevant, with actual access and responsibilities rather than an assumed exemption. As of 3 October 2026, IFA v6.1 Smart has been published since 1 September. Its valid-from and replacement dates remain to be announced; v6.1 GFS is not yet public, and v6 GFS remains valid pending benchmarking. Confirm the applicable edition with the body.

Check what a supporting report actually covers

For a supporting water or laboratory report, identify the source, sample location, date, report scope and actual agricultural use. Review relevance against the applicable criteria and risk assessment. A report’s existence, laboratory name or farm owner alone does not prove suitability for every plot or use; no universal test panel or retest interval is prescribed here.

Hypothetically, the submitted irrigation report names a well serving a neighbouring plot, while the proposed production plot uses a different source. The file labels all water covered because the owner is the same. Correct the source-to-plot map, retrieve the actual sampling and use information and arrange a competent review of the evidence gap. Do not relabel the old report or invent measurements for the unrepresented source.

Submit an organised and honest record set

Give each record a clear date, responsible person, activity and plot or product link. Keep procedures and completed records distinct and explain revisions. Mark absent evidence and current corrective work openly. Preparing a new blank form does not establish that a past crop was monitored; do not reconstruct fictional historic records.

Kayra can organise agreed document review and scope questions. The producer is responsible for accurate operation and evidence, and the appropriately approved body assesses the applicable IFA requirements and decides certification. The submitted file is not itself a certificate, and a product or plot outside the confirmed scope is not covered merely because its records sit in the same folder.

Official sources

Select records by actual IFA scope and applicable criteria; verify report relevance and disclose gaps. Preparation cannot create historic evidence or decide certification.

Is there one identical document list for every producer?

No. The edition, production option, products, plots and handling activities determine the applicable file.

Does one water report cover the whole farm?

Not automatically. Confirm the actual source, sampling, uses and relevance to the plots and risk assessment.

Can blank forms replace missing past records?

No. Disclose gaps and organise truthful current actions rather than inventing completed history.
