CERTIFICATION & COMPLIANCE GUIDE

İTU Application Records: Producer, Parcels, Inputs and Traceable Production

For Turkish İTU control, prepare the actual producer or group identity, declared products, parcel information, production calendar and KSK contract information. Agree the relevant individual or group route and the actual control scope with the authorised body. A general company brochure cannot identify which production will be assessed.

Establish the real production file

Keep records connecting crop and parcel to the actual operations: input purchases and use, fertilisation, pesticide applications, irrigation and harvest, with relevant analysis and traceability evidence. The Ministry’s guidance calls for production records; the precise assessment file depends on the real production and applicable requirements, not one universal folder sold for every farm.

Distinguish a purchase invoice from an application record

An invoice identifies a purchase; it does not establish which product was used on which crop, when or under what conditions. Preserve authentic contemporaneous records and responsible-person information. If a record is missing, identify the gap and ask the KSK how it affects assessment rather than filling in invented historical values.

Hypothetically, a cucumber grower has pesticide invoices and a laboratory report but no reliable record linking applications to two separate greenhouses and their harvests. Do not copy dates from the invoice into an application log as though spraying occurred then. Establish what genuine evidence exists, distinguish affected production and disclose the gap; neither a clean result from another harvest nor a completed blank template repairs that history.

Control changes and document ownership

Keep product, parcel and producer information consistent across the application, control plan, records and any issued certificate. For groups, identify the relevant members and internal responsibilities instead of supplying only the group’s trade name. Submit actual changes to the KSK for the required control and scope review.

The producer owns truthful records and implementation. The authorised KSK controls and makes certification decisions; article 18 prohibits its consultancy. Before asking Kayra for any activity, establish the actual permitted role, authority and independence. This checklist is preparation guidance, not a certificate or proof of Kayra KSK approval.

Official sources

Prepare real parcel-linked production evidence and disclose gaps; a completed form does not replace the recorded operation.

Does an invoice prove pesticide application?

No. Link actual applications to crop, parcel and dates with genuine evidence.

May missing historical records be invented?

No. Disclose the gap and its effect on assessment.

Is one standard folder sufficient for every farm?

No. Records must represent actual production and applicable scope.

Scope and decision verification

The applicant provides actual producer, product and parcel information and genuine production records. Confirm Kayra’s permitted role, relevant authority and independence before any requested activity; a commercial name or quotation does not establish KSK authorisation. İTU control and certification belong to the authorised KSK, which article 18 prohibits from providing consultancy. The producer remains responsible for implementation.
