Required documents and operating evidence

For IFS Food documents, build an evidence matrix from scope instead of giving every applicant an identical file list. Each row should identify the current rule, responsible person, record or operating practice and product batch to examine. Newly prepared blank forms do not establish past practice; explain the production version represented by existing records. Verify the complete list against current programme requirements and the body’s application arrangements.

Connecting practice and records

Review the recipe and specification revision, raw material controls, process results and label approval for a selected batch together. Traceability exercises support recall preparation. A finding should distinguish the decision about affected product from the root cause and measures preventing recurrence.

Example decision: a scope change

Document example: an external laboratory report identifies an old recipe code. Filing it does not make it evidence for the current product. Link sample, batch, requested analysis and recipe version; state limitations where scope is not met and plan further work if needed.
