01

Identify the actual dossier before comparing prices

Provide product/use, models and variants, factories, destination, proposed regulation/scheme and responsible applicant. Identify whether the work concerns series production, a specific batch or one unit. Supply reports, existing document numbers and known gaps. A product count alone does not determine assessment, sampling or site work.

Example: a quotation assumes one pump model, while the supplied file includes another drive and a second factory. Identify what the existing report and document actually cover. Resolve the changed configuration and production scope before describing the file as complete or extending an existing document to all variants.

02

Separate preparation from the required external tasks

List consultancy preparation, tests, required body assessment, possible factory work, actual local-party services, translations and labels as separate tasks. Specify who orders and pays for each. The selected current regulation and scheme determine what is needed; consultancy is not a purchase of automatic registry acceptance.

If the foreign report is unsuitable for the chosen scheme or cannot be traced to the model, clarification, new evidence or testing may be needed. Record the dependency before agreeing a price. Do not quote an old brochure’s fee, generic duration or certificate term as the current full-project commitment.

03

Plan milestones and document changes

Separate scope and applicant confirmation, evidence review, required sampling/tests or factory assessment, responses and the real document/registry task. Assign each stage an owner and an acceptance input. The competent body or responsible applicant retains its actual legal task; Kayra cannot promise a decision or fixed date.

Include production-site, model and material changes and the document’s actual conditions in the proposed service scope. A registered declaration is not every shipment’s customs permission. Compare proposals by tasks, exclusions and unresolved evidence; verify validity and status in the actual official record rather than assuming one term for all EAC routes.

04

Responsibility

Kayra supports the product/regulation comparison, evidence inventory and external coordination. The selected current EAEU regulation determines eligible applicant, any representative/importer role and the certificate or registered-declaration route. Required bodies and laboratories must have the relevant official register scope. Consultancy does not assume those roles or promise registration, conformity or customs release.
