Organise documents as operational evidence
A GDP document file should identify the legal entity, site, medicine activity and applicable country procedure. Separate authorisation records from the quality-system evidence: responsibilities, controlled procedures, supplier and recipient checks, storage and transport records, complaints and recall arrangements.
For each record, identify its owner, period, product or activity and relationship to the procedure. A collection of blank templates is not evidence of implementation. Keep amendments and missing information visible so the preparation team knows what requires real operational work before an official inspection.
Test the link from distribution records to recall contacts
The EU human-medicine GDP guideline requires accessible distribution information for recall, including recipients, quantities and appropriate batch details, with contact information inside and outside working hours. Recall arrangements need regular effectiveness evaluation, at least annually under that guideline. This is the European human-medicine context, not a universal checklist for every jurisdiction.
Hypothetically, a rehearsal traces an incoming lot but outgoing records cannot distinguish quantities sent to two customers, and their out-of-hours contacts are missing. Reconcile the actual transactions and customer records, identify the gaps and repeat the evidence check. A signed ‘recall complete’ form cannot supply missing recipient and quantity information.
Hand over gaps and responsibilities without replacing decisions
Retain the exercise results, discrepancies, corrective work, owners and evidence of improvement. Keep outsourced transport responsibilities and record access clear. Do not fill historical transaction gaps with invented entries; explain the limitation and obtain authentic supporting information.
Kayra can organise the agreed document review and gap register. The business controls its actual records and responsible personnel; the competent authority determines regulatory authorisation and compliance. A document pack does not itself authorise the warehouse, establish a private assessment as official GDP certification or decide the usability of a medicine batch.
Official sources
This document review prepares authentic operational evidence. Country-specific authorisation and official compliance remain with the competent authority; Kayra does not replace those decisions or product-disposition responsibilities.
Are blank templates sufficient GDP evidence?
No. Link the procedures to genuine records of the actual operation.
What should a recall record check demonstrate?
That relevant products, quantities, recipients and contact information can be retrieved and reconciled under the applicable requirements.
Does the completed file grant authorisation?
No. Public authorisation and official compliance require the competent authority’s applicable process.
