SA8000: Reconcile workforce and practice records
SA8000 concerns workplace conditions and the system managing them.
Reconcile workforce and practice records
An organisation using an agency must not submit only its permanent-staff list. Map actual worker groups and the relevant responsibility for recruitment, hours, wages and complaints. Link sample records to the same people and period and explain gaps honestly. Identify which 2026 changes require implementation; copying policies or collecting signatures does not resolve contradictory practice evidence.
Map workers and operating boundaries
Map permanent, seasonal and agency workers alongside production sites and outsourced operations. Scope example: payroll lists permanent staff, while agency workers operate the same line during peak season. Reconcile contracts, recruitment records, shifts and responsibility arrangements before defining the boundary. Temporary status does not justify excluding those workers’ actual conditions; a headcount limited to direct employees can hide the very work being assessed.
Reconcile hours and pay for the same period
SA8000 preparation should compare time and wage evidence for the same workers and reporting period. Protect identities while reconciling attendance, shifts, overtime calculations and payment records. File example: access-card hours differ from payroll hours. A newly written wage policy does not resolve the difference. Investigate its source, assign correction of the calculation or record, and retain evidence that the correction actually operated.
