Read the contractual wording

Ask which standard, covered activity, legal entity and sites the recipient requires. Check an existing certificate with its issuing body and, where relevant, accreditation information. Its current status and scope matter more than a scanned logo or an expiry date viewed alone.

Hypothetical case: tender evidence mismatch

A tender asks for a current certificate covering the supplier's operating site. The supplier provides an assessment booking for a different site. Record the mismatch; ask the recipient whether an alternative is acceptable. Do not relabel the booking as certification or promise acceptance.

Send the requirement and the evidence together

Supply the exact contract clause, certificate number and issuer, site list and requested submission date. If certification is still needed, preparation and the body's assessment remain separate tasks. Only the responsible issuer can make its certification decision.
