CERTIFICATION & COMPLIANCE GUIDE

Food GMP and GHP: Documents and Operational Records

A food GMP/GHP preparation file should identify the business, products, sites and real operations. Include a current flow, equipment and hygiene responsibilities, relevant instructions and genuine records. Separate supplier information, the operator’s own controls and statutory registration or approval documents; one does not automatically substitute for the others.

Build the file around actual food operations

Choose evidence relevant to receiving, storage, cleaning, allergens, pest control, maintenance and staff competence. The needed detail depends on the operation and applicable requirements. FAO GHP guidance is not a universal business-certificate application list; avoid claiming that every business must buy the same analyses or produce the same number of forms.

Check what each record actually proves

A useful record identifies its activity, product or equipment, date, person and result, with a link to any exception and action. Review whether it belongs to the current site and actual method. A supplier declaration does not prove the operator’s cleaning, and an unsigned model does not prove a task was performed.

Hypothetically, a supplier sends an allergen declaration for plain cereal while receiving records show a flavoured cereal containing a different ingredient blend. Do not file the declaration as evidence for every delivery. Compare product identity, formulation reference and actual received lot; obtain relevant current supplier information and review storage, label and handling implications through the responsible food-safety process. Do not alter an old declaration or retrospectively manufacture receiving checks.

Hand over an honest evidence register

Organise the file by control and responsibility, showing current revision, genuine records, missing information and the next action. Keep originals and explain limitations. If an activity was not recorded, describe the gap and establish a workable method for future evidence; a new blank form cannot reconstruct past control.

Kayra can help organise agreed preparation records and gaps. The food operator supplies truthful evidence and maintains controls. A document folder is neither statutory establishment approval nor an independently issued certificate; any private assessment must identify its actual programme and decision-maker. Cosmetics ISO 22716 and pharmaceutical GMP require separate sector-specific files.

Official sources

The operator owns genuine food-hygiene records. File preparation cannot replace statutory approval or the decision of an identified assessment programme.

Does a supplier declaration prove our hygiene controls?

No. It supports its relevant product claim, not the operator’s own cleaning or handling.

Can a new form reconstruct missing past records?

No. Disclose the gap and establish genuine future recording.

Is the same file valid for food and medicines?

No. Sector-specific requirements and evidence differ.
