ISO 14001: Rented Premises, Outsourcing and the Product Lifecycle

Environmental management extends beyond waste bins and permit files. Consider activities under the organisation's control or influence, product decisions and abnormal operating conditions together.

What belongs in environmental management when we rent an office?

Lack of ownership does not eliminate electricity, water, waste, purchasing or travel impacts. Distinguish building management services from your own decisions. Where direct measurements are unavailable, use existing bills and justified estimates as initial data. Explain limitations and identify who can supply missing information rather than ignoring unmeasured impacts.

Do product impacts matter if we do not manufacture anything?

Examine your influence over design, packaging, suppliers and transport. Applying a lifecycle perspective does not mean conducting a detailed lifecycle assessment for every product. Identify decisions you can influence, such as purchasing criteria, packaging reduction and user information. Make dependencies outside your authority visible as well.

Are further records needed after waste collection is outsourced to a licensed company?

The carrier's and receiving facility's authorisations should match the waste type and quantity. Retain transfer and acceptance evidence alongside the agreement. Segregation, labelling and safe temporary storage may remain part of your operations. Outsourcing does not automatically transfer all environmental responsibilities; check applicable local requirements separately.

Is filing the safety data sheet enough before using a new solvent?

Assess quantity, storage, emissions, waste and spill conditions together. Check whether environmental aspects, operating controls and emergency arrangements cover the change. Review permit or notification requirements for the actual facility. The safety data sheet is an important input, not a substitute for the organisation's risk and control decisions.

Can ISO 14001 certification replace an environmental permit that is still pending?

No. A management system certificate is not an administrative permit. Assess the application's status, operating conditions and restrictions separately. Disclose the situation to the certification body so it can evaluate obligation tracking and nonconformity management. An application must not be represented as an issued authorisation.

If waste increases because production grows, has the environmental objective failed?

First check whether the objective concerns total waste or waste per unit produced. Output, product mix and process changes may affect the result. Monitoring both absolute burden and a suitable intensity indicator improves interpretation. Explain the variance and approve action rather than retrospectively changing the target to fit the outcome.
