PPE: Technical Documentation and Traceable Records
The useful file links the supplied equipment to evidence; a folder of unrelated certificates does not do that.
Build the Annex III evidence chain
Annex III requires the equipment and intended-use description, risk assessment, applicable essential requirements, drawings and explanations, standards or other specifications, calculations and test reports, production measures and instructions. Identify partial standards coverage and how remaining requirements are met.
Index models, materials, sizes, accessories and document revisions. Link each protection claim to relevant evidence and limitations. Retain the manufacturer’s conformity documentation as required; the ten-year record obligation is not a ten-year equipment service-life promise.
Case: glove lining changed while the report stayed
Hypothetically, a glove's liner thickness and composition change but the file retains the old specimen report. Compare the production specification, actual sample identity, test coverage and instructions. Determine which claims and variants require review; do not attach the most convenient report without a traceable relationship to the supplied glove.
Control the drawing, test and instruction revisions together. Identify the person authorised to release the file and the evidence still missing. For individually fitted PPE, apply the relevant approved-basic-model or series-fitting documentation requirements.
Keep authorship and decisions accountable
The manufacturer draws up the file and establishes conformity; an authorised representative's mandate does not transfer the Regulation's design/manufacture or technical-document drafting obligations. A body or laboratory supplies its particular output, not the complete manufacturer file automatically.
Define any requested Kayra document activity and verify its permitted scope and independence before acceptance. Do not infer a body appointment or a successful decision from a neatly presented file.
Questions for this purpose
Does a certificate replace Annex III documentation?
No. The manufacturer’s complete, applicable technical evidence remains necessary.
Can the old glove report cover a changed liner automatically?
No. Actual configuration and protection claims must be linked to applicable evidence.
Does ten-year retention mean ten-year usable life?
No. Record retention and the equipment’s use limits are different matters.
