LVD required records: link the file to design, risks and reports
Build a traceable technical file for the actual electrical equipment instead of submitting disconnected supplier certificates.
Create a controlled evidence index
Annex III technical documentation covers the product description, design/manufacturing drawings, explanations, applicable requirements, risk analysis, standards or other justified solutions, calculations and test reports as relevant. An index should identify models, revisions, record owners and where the underlying evidence can be obtained. A list of document titles alone cannot establish completeness.
Connect each safety objective to the design solution and supporting evidence. Explain partial standard use and unresolved questions; check the actual Official Journal reference and covered objectives rather than assuming any standard number creates a complete presumption of conformity. Include instructions, identification and the declaration consistent with the final equipment.
Hypothetical case: pump drawing and report disagree
A 230 V pump’s current drawing specifies a changed insulating seal, while the safety report describes the previous build. The supplier attaches a certificate for the new seal material. Compare drawing revisions, component specifications, specimen photographs, protective connections and the report’s conditions. The material document cannot establish safety of the changed assembled pump.
Mark the affected evidence links as open and obtain an engineering assessment of the substitution, with further evidence where needed. Update the controlled drawing and report relationship before extending the declaration to the new build. Do not remove the mismatch by renaming an old report or inserting a current drawing into an unchanged tested-file index.
Access, retention and responsibilities
The manufacturer must retain the LVD technical file and declaration for ten years after the equipment is placed on the market. Establish retrieval and revision control, including restricted supplier data and access for a reasoned authority request. A broken download link or consultant-held folder without an agreed access arrangement is not a reliable evidence system.
Kayra can organise the index and record-gap questions. The manufacturer remains responsible for sufficient documentation and actual conformity; engineering and laboratory evidence must come from those responsible for the work. The next action is a model/revision-specific evidence register with a named owner and closure task for every missing link.
