CE required records: build an evidence file for the actual product
Link design, risk, reports, labels and declarations to a controlled product configuration rather than collecting unrelated certificates.
Organise records around the requirements
Technical documentation explains the product’s design, manufacture and operation and supports the conformity claim. Start with product identification, intended use, configurations and responsible manufacturer. Map applicable requirements to risk analysis, drawings, component information, methods and reports. The exact content and retention duties must be checked in the applicable product legislation.
An index should identify the current revision, owner and relevance of each record. Include instructions and labels, and any required independent-body evidence. Separate a complete missing record from a document that exists but concerns the wrong configuration. Keep the signed declaration traceable to the evidence baseline rather than store it as an isolated PDF.
A hypothetical supplier change hidden in the file
A file contains a test report for enclosure material A, but the purchasing specification now permits material B. Both supplier certificates describe their own materials; neither explains the effect on the finished product’s risks. Compare the tested configuration, approved material specification and current purchasing record before declaring the evidence gap closed.
Ask the responsible engineer for the change assessment and any additional evidence needed. Record the decision and the affected report references in the index. Do not invent a substitute certificate or claim that a larger document count proves compliance. The next action is to reconcile the actual sold configuration with the technical evidence.
Availability and responsibility
Assign who can retrieve controlled drawings, supplier evidence and test annexes when authorities request them. Agree access and confidentiality where suppliers restrict information. A folder of inaccessible links does not demonstrate that the manufacturer can provide the relevant documentation. Establish an appropriate retention and translation plan from the actual legal requirements.
Kayra may help build the index and organise gap queries. The manufacturer remains responsible for the adequacy and availability of the technical file. Advisory formatting cannot validate a missing engineering assessment, and a required laboratory or notified-body conclusion must come from the party responsible for that work.

The records needed to build the actual product’s CE evidence file depend on the confirmed scope. Current, consistent and traceable information reduces avoidable revisions.
