EU declaration of conformity: scope, signatory and evidence linkage
Read the declaration as a legally responsible statement, separate from a test report or a voluntary certificate.
Understand the declaration’s role
The EU declaration records a responsible conformity statement for the identified product under the applicable legislation. It follows the required assessment and supporting technical documentation. A laboratory report records test results; a notified-body certificate records its assigned assessment outcome. Neither document automatically becomes the manufacturer’s declaration.
Read the declared product, manufacturer, legal references, date and signature together. Check any required body information and references to the technical means used. The document’s title alone does not demonstrate correct scope or completed assessment. Use the actual product law to identify the prescribed content and any different declaration obligations.
A hypothetical declaration signed for another company
A buyer receives a declaration naming the original factory, while the product label shows a different company’s own brand. The buyer also receives a consultant’s signature without an explanation of signing authority. Obtain the role arrangement and current manufacturer declaration rather than assume that the factory’s original document covers the later branded product.
Compare the product identity, responsible legal person and signatory’s authority with the actual transaction. Ask for correction or clarification from the manufacturer where those links are missing. This is a document and responsibility question; do not infer that a genuine factory test report itself resolves the mismatch.
Use and retention
Keep the declaration linked to the controlled file and relevant shipments. Determine the required languages and availability from the destination and applicable legislation. When a product changes, review whether the declaration and evidence must change as well. A later issue date alone cannot make obsolete technical evidence current.
Kayra can help interpret the document’s structure and organise consistency checks. It is not automatically an authorised representative or signatory for the manufacturer. The declaration’s legal responsibility remains with the properly responsible party, and an advisory review does not guarantee conformity, authenticity of every supporting record or authority acceptance.

The records needed to check a declaration’s manufacturer, product and signatory depend on the confirmed scope. Current, consistent and traceable information reduces avoidable revisions.
