EMC technical records: design versions, operating conditions and evidence

Build a configuration-linked file with risk analysis, drawings, methods and actual results rather than a folder of supplier documents.

Connect documents to the apparatus

EMC technical documentation describes the apparatus, design/manufacturing drawings and circuits, operation, applicable requirements, risk analysis and assessment, technical solutions, calculations and test reports. Identify full or partial use of harmonised standards and explain alternatives where appropriate. Each record needs a controlled product and configuration link.

Check actual Official Journal reference status and the requirements covered by a cited standard. The Commission summary can include withdrawn references and has no legal effect of its own. A supplier record with a familiar standard title does not show that the supplied apparatus, relevant operating conditions and current construction were assessed.

02

Hypothetical case: new board clock, old report

A control unit’s new schematic changes its clock source and board revision; the file retains a report for the old board and firmware. The supplier proposes closing the file by adding the oscillator data sheet. Compare circuit revisions, clock settings, firmware, ports, assessed operating modes and the report’s sample identification before judging continued coverage.

Ask for the engineering assessment of the change and any additional evidence needed for relevant phenomena. Record why old results remain usable, or which questions they leave open. An oscillator specification is not the finished unit’s EMC assessment, and a renamed PDF does not make an old specimen current.

03

A controlled file and retention

Maintain a requirements–configuration–evidence index, unresolved-item register and consistent declaration references. For apparatus, the manufacturer keeps technical documentation and the EU declaration for ten years after placing it on the market. This retention period is not a ten-year product licence and does not make later design revisions automatically covered.

Kayra can help structure the index and coordinate missing-document requests. It does not fabricate engineering conclusions or laboratory records. The next action is a revision-linked evidence review with identified owners, followed by closure of the actual EMC questions; fixed-installation lifetime documentation requires its separate treatment.
