GAR technical documents: gas configuration, risk evidence and traceable versions
Link the supplied appliance or fitting to controlled drawings, risk analysis, reports and instructions.
Build a file that identifies the actual product
Technical documentation must enable assessment of applicable requirements and include an appropriate risk analysis. Link the product description, drawings, gas/control circuits, explanations, applied harmonised provisions or alternative solutions, calculations and test reports to the actual configuration. Representative samples and supporting evidence must identify the version submitted.
For an appliance, include installation/use instructions and relevant incorporated-fitting records. For a fitting, include the required incorporation/assembly information: GAR fittings also have conformity and declaration duties, unlike the different ATEX component exception. Keep production-procedure records and complete certificate annexes or supplements where applicable.
Hypothetical case: regulator revision and contradictory pressure records
A regulator assembly file contains one pressure range in a supplier specification and another on the current plate, while the drawing refers to an earlier valve revision. Collect the controlled specifications, actual BOM, test configuration, risk rationale and incorporation instructions. Ask which conditions and version the issued evidence genuinely identify.
Resolve the contradictions through competent technical review and the relevant body process before copying either range into the declaration. Supplier data can inform the analysis but does not establish the complete fitting’s conformity. Record the correction, further evidence and controlled version rather than selecting the more convenient pressure value.
Resolve discrepancies before declaration
The manufacturer keeps relevant technical/declaration records for ten years after market placement; this retention period does not establish that every certificate has the same life. Maintain a clear index connecting models, issued conditions, production records, marking and instructions. A well-formatted folder remains inadequate if its configuration links disagree.
Kayra can organise the index and discrepancy register within the agreed scope. It does not replace engineering evidence or the manufacturer’s responsibility. The next action is reconciliation of the regulator revision and pressure mismatch, with an explicit technical decision and a file that distinguishes supported conditions from unresolved ones.
