EN 1090 records: connect each proof to the supplied component
Prepare an evidence map for the real component revision, production site and declared characteristics. Check drawings, material identity, relevant process evidence and actual release records rather than compiling unrelated certificates.
Organise records around the product revision
Use the supplied component or kit and its intended use as the index for the file. Record the applicable specification, drawing revision, manufacturing sites and claimed characteristics. Assign each requirement to an actual supporting record and responsible person; a folder containing many certificates is not evidence that they cover the same product.
Depending on the actual scope, the preparation may involve design or execution specifications, material identification, relevant process qualifications, inspection and release records, and production-control procedures with their real results. Confirm the required items against the applicable specification and assessment tasks; this is not a universal checklist that assigns the same records or tests to every metal product.
Resolve a drawing and joint mismatch before using old evidence
Conditional example: the order calls for a frame with a revised flange joint, while the file contains a previous drawing and an inspection record for another joint configuration. The material grade is unchanged. Compare drawing identifiers, dimensions, connection details, production records and the scope of the inspection rather than treating the common steel grade as proof of equivalence.
Keep the old records under their original identifiers. Identify which evidence still supports the supplied revision and which needs a real additional activity and decision. Do not relabel an inspection result for the changed joint or fill in a completed inspection when none occurred. Unresolved traceability must remain visible to the manufacturer and the responsible assessor.
Retain controlled evidence, not a substitute for decisions
For each accepted record, retain its author, date, original scope and connection to the supplied component. Track later revisions and the disposition of deviations. Separate the manufacturer’s controls and declaration from a conformity body’s assigned assessment and certificate scope; an inspection sheet does not expand a certificate to an unassessed site.
Kayra can organise the register, revision comparison and requests for missing evidence. The manufacturer performs and records the real controls; design, laboratory and conformity parties decide their respective work. Before the applicable declaration and CE marking, confirm the resulting evidence coverage and current CPR route. A prepared register cannot invent an unperformed test or approve the project.
