ETA records: make the actual product, method and performance evidence traceable
Prepare an ETA record set around the supplied configuration, intended use and applicable EAD. Keep full report and sample identity, actual production information and unresolved evidence gaps visible; a summary or new label does not create traceability.
Organise records around the assessment scope
Identify the actual manufacturer, marketed product and variants, intended use, supplied components and installation conditions. Provide relevant drawings, material information and production details that the competent TAB needs for the actual assessment. EOTA’s contact guidance asks for product description, variants, intended uses and characteristics; it is not a universal fixed document checklist for every product.
Link each claimed characteristic to the relevant EAD requirement and method, with the actual report, calculation or other evidence. Record the EAD reference and version and check the applicable citation and CPR regime. Separate assessed results from claims with missing support. Ask the TAB about the exact information required rather than treating an unrelated standard certificate as the whole assessment record.
A report summary can leave specimen identity unresolved
Conditional example: a supplier provides a summary of a test result, but the summary omits the tested specimen identification and relevant mounting conditions. The marketed variant uses a different component code. A supplier’s new cover letter cannot alone establish that the result describes the supplied variant; obtain the original relevant report information and trace the actual tested configuration.
Request clarification from the laboratory or competent TAB as appropriate, preserving original references, method and conditions. Mark identity or coverage gaps rather than filling them with invented values. Where further evidence is needed, record the agreed work and its real result; renaming the specimen or attaching a model list does not perform an additional assessment.
Keep production and current-route records distinct from the ETA number
Provide truthful production information and records of controls required by the applicable system and agreed assessment. A copied control plan does not demonstrate implementation. Identify the responsible party and actual records for missing controls. Additional characteristics and information under the new CPR depend on the applicable route and assessment basis; do not silently impose the new framework on every outgoing-CPR file.
Kayra can organise product-record comparison and a requirement-to-evidence register; the manufacturer remains responsible for data and production work. TAB judges accepted evidence and issues ETA within its competence, with conformity-body tasks where the system requires them. Preserve the issued scope and applicable declaration and CE records separately. A tidy folder or an ETA number cannot replace complete product evidence or the current citation check.
