PED: Technical Documents and Traceability Records
A PED technical file must explain the equipment and demonstrate the applicable requirements. The records need a traceable connection to the actual unit or production model.
Build an equipment-specific file index
Annex III procedures specify technical documentation for the relevant route. The file identifies the equipment, applicable requirements, risk analysis, drawings and explanations, standards or alternative solutions, calculations, examinations and test reports as relevant. List the actual document revisions and their relationship to the manufactured configuration.
Add the classification basis and selected procedure. Materials, joining qualifications and approvals, applicable non-destructive tests, heat treatment, final inspection and proof-test records must be linked where required. A standard name without its applicable scope and supporting evidence is not a complete conformity argument.
Close a material identity gap
Hypothetically, plates were cut into vessel parts and the heat identification was lost during transfer to fabrication. A supplier's material certificate alone does not identify which part was installed. Trace the receipt and cutting records and obtain an acceptable resolution for the actual parts; refuse to assign a convenient certificate without evidence.
Annex I requires suitable material traceability from receipt through production to the final test. Distinguish the material manufacturer's record from the equipment manufacturer's overall responsibility. Missing joining or test records must be recorded as gaps rather than generated retrospectively as completed work.
Control the final release set
Where required, the manufacturer's EU declaration follows the applicable conformity procedure and must remain updated. Align product identification, limits, instructions and any module evidence. The manufacturer keeps technical documentation and the declaration for ten years after placing the equipment or assembly on the market.
For a Kayra enquiry, share the file index, actual revisions and unresolved gaps and confirm the requested activity's permitted role. This guide does not promise to produce missing manufacturing evidence or issue a notified-body result. In-service inspection records are a different purpose from demonstrating initial product conformity.
Questions for this purpose
Is a material certificate enough?
It must be connected to the actual material used; it does not replace the complete equipment file.
Can missing records be backdated?
No. Record the gap and resolve it through authentic evidence and an acceptable technical decision.
Who keeps the technical file?
The manufacturer retains the required technical documentation and declaration under the directive.

PED enquiry: scope and activity
Send an indexed list of current drawings, calculations and manufacturing records, with equipment identity and unresolved gaps. Establish the permitted activity before handing over work.
